Room Alert MAX Base Stations

You may update your MAX Base Station through its local web interface. Please see How To Update Firmware On MAX Base Stations.

Room Alert ‘S’, ‘E’ or ‘W’ Models

You may update the firmware on your Room Alert Monitor in one of these ways:

1. With Room Alert Discovery utility.

– Available with all levels of RoomAlert.com, including the unpaid Base account.

– Updates only these models. Does not update MAX Base Stations.

2. With Room Alert Manager software.

– Available with a Professional or higher RoomAlert.com account.

– Updates only these models. Does not update MAX Base Stations.

3. With Room Alert Link software.

– Available with a Professional or higher RoomAlert.com account.

– Updates only these models. Does not update MAX Base Stations.

4. With the Device Discovery utility (Legacy).

– Available with all levels of RoomAlert.com, including the unpaid Base account.

– Updates only these models. Does not update ‘S’ models or MAX Base Stations.

You may initiate firmware updates from the Room Alert Discovery utility for the following models:

  • Room Alert 32S
  • Room Alert 12S
  • Room Alert 3S
  • Room Alert 32E/W
  • Room Alert 12E
  • Room Alert 4E
  • Room Alert 3E
  • Room Alert 3W

To update your Room Alert Monitor, follow these instructions:

  1. First open the Room Alert Discovery utility.
    • To do so, look for “AVTECH Room Alert Discovery” in Windows Start menu.
    • Alternatively, you may navigate to Room Alert Discovery’s Installation Directory (C:\Program Files\AVTECH Room Alert Discovery by default) and double-click avtech-room-alert-discovery.exe
  2. Next, discover the Room Alert Monitor(s) that you wish to update.
  3. If a device is not running the latest firmware, you’ll see a symbol in its Firmware Version column.
  4. Room Alert ‘S’ models and the Room Alert 3W require credentials in order to perform a firmware update.
    • If your Room Alert ‘S’ model or Room Alert 3W is configured with custom credentials, you must save them in the utility before you can perform a successful firmware update.
      • Credentials are only stored during the session. If Room Alert Discovery is closed and reopened, the credentials do not persist.
    • To do so, select the beside your device, choose Update Credentials, and save your device’s username & password.
    • To save the same set of credentials for multiple devices, you can instead use the Save Credentials… option in the Bulk Device Actions drop-down menu.
      • Then use the Test Credentials… option to confirm that the utility can connect to the devices with the newly saved credentials.
  5. You may update a single Room Alert device or a perform a bulk update on multiple devices.
    • See the tabs below for more information.
Update a single device
  1. To perform a firmware update on a single Room Alert Monitor, select the beside the device, and choose the Update Firmware… option.
  2. Then, in the Update Firmware window, you may choose to either:
    • Have the utility get the latest firmware automatically, or
    • Browse to a firmware file that you previously downloaded.
  3. Select Continue, and then select Update Now to apply the firmware update.
Update multiple devices at once
  1. To perform a firmware update on multiple Room Alert Monitors, first select the checkboxes beside all of the device you wish to update.
  2. Then in the Bulk Device Actions list, select the Update Firmware… option.
  3. Then, in the Update Firmware window, you may choose to either:
    • Have the utility get the latest firmware automatically, or
    • Browse to a firmware file that you previously downloaded.
      This option is only available if all selected devices are the same model type.
  4. Select Continue, and then select Update Now.

You may initiate firmware updates from Room Alert Manager for the following models:

  • Room Alert 32S
  • Room Alert 12S
  • Room Alert 3S
  • Room Alert 32E/W
  • Room Alert 12E
  • Room Alert 4E
  • Room Alert 3E
  • Room Alert 3W

To update your Room Alert Monitor, follow these instructions:

  1. First open Room Alert Manager’s web interface.
  2. In order to perform firmware updates in Room Alert Manager, you must log in as an admin-level user or a manager-level user that’s been granted access to the device.
  3. (Optional): Change your firmware update settings.
    • By default, Room Alert Manager will automatically get the latest firmware for you.
    • If you need to browse to a local firmware file instead, you may change your settings by navigating to Settings –> Firmware Updates.
      • Here, you may configure Room Alert Manager to:
        – Get the latest firmware for me automatically.
        – Let me browse to a firmware file I downloaded. 
        – Always show both options.
  4. In Room Alert Manager’s Devices Inventory list, locate the device you wish to update.
  5. To the right of the screen, select the ellipsis to view the available options for that device.
    • You may need to scroll the page horizontally to view the ellipsis.
  6. Then select Update Firmware.
  7. In the Firmware Update window that opens:
    • View the firmware version that will be applied to your device.
    • (S Models Only) Enter the credentials saved to the Settings page of your Room Alert Monitor.
    • Select Update Now.
  8. You’ll see a progress bar while the update completes.
    • You may select Close to close the progress bar window. The update will complete in the background.
  9. When the update is Complete, select Close.

Remote and local updates through Link

  • You may initiate firmware updates remotely from your RoomAlert.com account for the following models:
    • Room Alert 32S*
    • Room Alert 12S*
    • Room Alert 32E/W
    • Room Alert 12E
    • Room Alert 4E
    • Room Alert 3E
      *Your Room Alert 32S must already be running firmware v1.1.1 or higher. You must also be running Link v1.3.0 or higher.
  • Updating this way requires Room Alert Link software.
  • You can also initiate firmware updates directly from Room Alert Link’s local web interface.

Before you begin

The Room Alert you wish to update must meet the following conditions:

  • It is discovered by the Link software installed on a computer on your network.
  • It is registered in RoomAlert.com.
    • This is necessary to perform remote updates through your Room Alert Account.
  1. If you have not already done so, set up a Room Alert Link. This FAQ shows you how: How to Install Room Alert Link.
  2. In your local Link software on your computer:
    • Open your local Link’s web interface by entering localhost:8989 in your browser’s address bar (or IPAddressofLink’sHostComputer:8989).
    • Make sure the unit you wish to update appears in Link’s list of discovered devices.
      • If the unit is on the same local subnet as Link’s host computer, it should automatically appear in that list.
      • If the unit does not automatically appear, you may search for it by IP address. Go to Settings–>Manual Discovery in your local Link to do so.
  3. For next steps, select one of the tabs below.
Remote update through RoomAlert.com

In your RoomAlert.com account:

  • Navigate to Devices–>Room Alert Link–>name of your Link.
    • Confirm that Connection to RoomAlert.com displays “Connected.” This means your local installation of Link is communicating with your RoomAlert.com account.
    • Then, in the Locally discovered devices list, check for a Register button next to the unit you wish to update.
      • If you see that button, click it to register that device to your RoomAlert.com account.
      • If you don’t see that button, that device is already registered.
  • Once your Room Alert is registered, you may initiate updates to your unit remotely through your RoomAlert.com account. See Initiate Update below.

Initiate Update

  1. In your RoomAlert.com account, navigate to Devices–>your Room Alert to open your unit’s Device Details page.
  2. In the upper left section of the header, locate the Firmware field and select Update.
  3. In the page that appears, select Update Firmware to start the update.
  4. A progress bar appears. It shows the progress of each file that is uploaded to the Room Alert.
  5. A confirmation message appears when the update is complete. Your Room Alert will then reboot with the firmware update applied.
Local update through Link's web interface

Local firmware updates are available on Link version 1.2.0 and later. If you don’t see the option to perform local updates, please install the latest version of Link and clear your web browser cache.

  1. Locate the unit you wish to update in Link’s list of discovered devices.
  2. Select the Update button that appears next to that unit.
  3. You’ll see a confirmation box appear.
  4. Close any instances of the device’s web interface that are open in your browser, and then select Update Now.
    • Room Alert ‘S’ models only: you’ll be prompted to enter credentials before you update.
      • If you haven’t saved custom credentials on your device yet, use these default credentials:
        Username: admin
        Password: password
  5. While the firmware update is in progress, you may select the Update button again to view a progress bar.
  6. When the update completes, you’ll see a green check mark next to the unit in the list. Your Room Alert will reboot with the firmware update applied.

You may use Device Discovery to update these these models. Room Alert ‘S’ models and MAX devices are not compatible with this utility.

Before you begin

The firmware update file should download with a .upd extension.

If your file downloads with a .zip extension, do not extract the contents; instead, please try the download again from a different browser so that you get the file in the .upd format. (If you don’t have access to a different browser, you may rename the extension of the .zip file to .upd.)

  • Update to the latest version of the Device Discovery utility. It is available through your account at RoomAlert.com as well.
  • Room Alert 3 Wi-Fi only: set the unit’s password back to the default, “PASSWORD.” You may change the password back after the firmware update completes.
  • Perform the update from a computer on the same local subnet as the Room Alert Monitor. Firmware updates use the TFTP protocol.

Select one of the programs below for further instructions

Update with AVTECH's Device Discovery utility

1. Open the Device Discovery utility. You may find it in your Windows system typically through the default path: C:\Program Files\AVTECH Device Discovery Utility.

2. Select Search. After a moment, your devices will populate the screen.

3. Select the unit you wish to update.

4. Select Update at the top right corner of the screen.

5. When the Update Firmware alert appears, select OK.

6. When the Choose Firmware File To Upload window appears:

– Navigate to the update file you previously downloaded to your computer. The file should have a .upd extension.*

* If you find that the file has a .zip extension, do not proceed. Instead, re-download the file using a different browser so that you get the .upd file. (If you are unable to use a different browser, you may rename the .zip extension to .upd.)

– Select the file, and then select Upload.

7. You’ll see a Progress box appear, which gives you the option to cancel the update if you wish.

8. Once the firmware file has been uploaded, the Please Review Update.log File dialog box appears.

– You may select Yes if you’d like to view details about the update; otherwise, select No to close the box.

9. Your unit will reboot with its firmware updated.

Update with AVTECH's Device ManageR software (Legacy)

1. Open Device ManageR in your web browser. You may open it by entering ‘localhost:8080’ or ‘<IP of host system>:8080’ in your browser’s address bar.

2. Your devices will immediately populate the Discovered Devices list to the left.

3. Select the unit you wish to update.

4. Select Update Firmware, which you can find as a link below the unit name in the device list or as a button in the main viewing pane to the right.

6. When the file selection window appears:

– Navigate to the update file you previously downloaded to your computer. The file should have a .upd extension.*

– Select the file, and then select Open.

If your organization’s Room Alert Account is at the Professional upgrade level or higher, you may take advantage of Room Alert Link.

What is Link?

Link is local software that you can install on your computer. It runs in the background as a Windows service. Link sits between RoomAlert.com and your Room Alert Monitors, communicating in both directions.

Why use it?

Room Alert Link makes it easy to discover your devices locally; plus, it allows RoomAlert.com to more quickly recognize when devices have stopped communicating. With Link, you can manually refresh the sensor data in RoomAlert.com at any time. Link also allows you to perform a firmware update with one button — from anywhere!

By default, your Room Alert Monitors communicate with RoomAlert.com in one direction: the devices push their sensor data up to the account, as shown below. RoomAlert.com waits to receive this data from the device.

Link communication with RoomAlert.com

Room Alert Link effectively allows for bidirectional communication; RoomAlert.com can ask Link which devices are online, request updated sensor data and request firmware updates.

  • Link scans your network at a selected interval (15 seconds by default) to determine which Room Alert Monitors are online.
  • Link sends this information to RoomAlert.com.
  • If Link reports that a device has dropped off the network, RoomAlert.com can notify you right away.

Firmware updates with & without Link

NOT USING LINK

  • You must use either Room Alert Discovery, AVTECH’s legacy Device Discovery utility or Room Alert Manager software to perform firmware updates.
  • You should perform the firmware update from a computer on the same local subnet as the Room Alert device.

USING LINK

  • Updating your device’s firmware is as simple as clicking 1 button.
    • Plus you can click that button from anywhere.
    • Link is on the network, so you don’t need to be!

  • As of v1.2.0, Link can also perform firmware updates from its local web interface.

Your Room Alert Link has a local web interface that you can access if you’re on the same network as Link’s host computer.

You may wish to access Link’s local web interface to:

  • View a list of discovered devices
  • Update Link’s discovery settings
  • Update Link’s authorization key

To open Link’s local web interface, follow the instructions below.

Access Link from the host computer

To access Link’s local web interface from its host computer, simply type localhost:8989 (by default) into your web browser’s address bar, as shown below.

Access Link from a different computer on the network

To access Link’s local web interface from a different computer on the network, first open Inbound port 8989 (by default) on Link’s host computer.

Then type <IP address of host system>:8989 into your web browser’s address bar. An example is shown below.

Room Alert Link runs as a local service on the Windows system it is installed on. By default, it’s configured to start automatically when the Windows system starts. To perform certain tasks, you may need to stop, start or restart the service.

STOP

  • Stopping Link ends the program and makes its web interface inaccessible.

START

  • Starting Link starts the program (after it has been stopped) and brings its web interface back online.

RESTART

  • Restarting Link immediately reboots the program and takes its web interface offline only momentarily.

Stop, Start Or Restart Link Using The Windows Services Tool

  1. Open the Services tool in the Windows system that Link is installed on. You may find Services at the following path: Start–> Control Panel–> Administrative Tools–> Services.
  2. Highlight ‘AVTECH Room Alert Link’ in the list of programs in the Name column by clicking on it once.
  3. You may select Stop, Restart or Start the service on the left side of the window. (The option to ‘Start’ appears when the program’s status reads ‘Stopped.’)

Follow the instructions below to check if Room Alert Link (installed on your computer) is successfully communicating with RoomAlert.com.

How to check the connectionHow to fix connection issues

There are two places to check Link’s connection status:

  • Your Room Alert Account, and
  • Link’s local web interface

View the connection status through RoomAlert.com:

1. Navigate to the Devices page and select the Room Alert Links tab.

2. Locate your Link in the list.

3. In the Connection to RoomAlert.com column, you’ll see the real-time Connection status.

  • Connected means that your Link has communicated with RoomAlert.com within the last minute.
  • Disconnected means that your Link has stopped communicating with RoomAlert.com.

View the connection status through Link’s local web interface:

1. Open Link’s local web interface by following the instructions in our FAQ, How To Access Link’s Local Web Interface.

2. You’ll see the connection status in the upper right corner.

  • Connected means that your Link has communicated with RoomAlert.com within the last minute.
  • Disconnected means that your Link has stopped communicating with RoomAlert.com.

If your Link is Not Connected, please see the How to fix connection issues tab for troubleshooting steps.

If your Link is not connected to RoomAlert.com, we recommend checking the following:

  • Is HTTPS port 443 open on your network?
  • Does the authorization key in Link’s local web interface match the key in RoomAlert.com?

Step 1: Check that port 443 is open on your network.

Link sends device and sensor data to RoomAlert.com over outbound HTTPS port 443.

Open this port on anything on your network that stands between Link and the Internet.

Step 2: Compare the authorization keys.

First view the key associated with your Link in RoomAlert.com.

Then compare it to the key in Link’s web interface.

  • Then select the Authorization Key tab to view the Current Key.

Room Alert Link can discover these types of Room Alert Monitors: Room Alert 32S, 12S, 3S, 32E/W, 12E, 4E, 3E and 3W.

Discovery Through Room Alert LinkView Discovered Devices In Your Room Alert Account

Room Alert Link scans your network in the following ways:

  • Automatic discovery with a UDP broadcast on UPD Port 30718.
  • Manual discovery with a unicast UDP scan on UDP Port 30718.

Room Alert Link displays all discovered devices in its Dashboard, as shown here:

Automatic Discovery With Room Alert Link

Room Alert Link runs in the background as a Windows service even when you don’t have it open in your browser. By default, it scans your network every 15 seconds using a broadcast on UDP Port 30718.

If your Room Alert Monitor is not automatically discovered by Link, we first recommend checking that UDP port 30718 is open between the device and Link. For more information, please see List Of Ports Required By Room Alert Products.

If Link still does not automatically discover your Room Alert Monitor, follow the instructions in the next section to manually discover the device.

Manual Discovery With Room Alert Link

If your Room Alert Monitor is not automatically discovered by Link, you can try manually discovering the device by scanning its IP address or a range of IP addresses.

Please follow these instructions to manually discover your device:

  1. First open Link’s web interface by following the instructions in our FAQ, How To Access Link’s Local Web Interface.
  2. In Link’s interface, select the Settings button in the upper right corner of the page.
  3. This will open Link’s Discovery Settings page.
  4. Here, you may choose to scan a single IP address or a range of IP addresses.
    • To scan a single IP address, enter it in the Enter an IP Address field. Then select the + button.
    • To scan an IP range, enter the first IP address of the range and the last IP address of the range. Then select the + button.
  5. Then select Save Changes at the top or bottom of the screen.

Along with viewing your discovered devices in Room Alert Link’s local Dashboard, you may also view discovered devices within your RoomAlert.com account.

RoomAlert.com displays this information in the following places:

  • Room Alert Link’s Details page within RoomAlert.com
  • Your Devices Inventory list within RoomAlert.com

Select the tabs below for more information.

RoomAlert.com Link Details page

Follow these instructions to view the list of discovered devices in the Room Alert Link Details page of your Room Alert Account:

  1. Log in to your account at RoomAlert.com.
  2. In the navigation bar to the left, navigate to Devices, and select the Room Alert Links tab.
  3. Select your Link from the list to open its Details page.
  4. In the Link Details page, you’ll see a list of all the device currently discovered by your Link.
    • In the list of Locally discovered devices, you’ll see each unit’s MAC address, IP address, and Device Type.
    • If Link discovers a device that is not currently registered to your RoomAlert.com account, you’ll also see a Register button.
      • Select this button if you wish to register the device to your account.

Room Alert devices can only be registered to one organization’s RoomAlert.com account at a time.

RoomAlert.com Devices Inventory list

Follow these instructions to view the list of discovered devices in the Devices Inventory page of your Room Alert Account:

  1. Log in to your account at RoomAlert.com.
  2. In the navigation bar to the left, select Devices, which will open the Inventory tab.
  3. In your Inventory list, you’ll see the Room Alert Link column.
    • If the Room Alert Monitor is currently discovered by a Link, you’ll see the name of the Link in this column.

You may install Room Alert Link by following these steps:

1. Log in to your account at RoomAlert.com.

In order to download and configure Room Alert Link, you must log in as an admin-level or operator-level user. For more information, please see the “Types of user roles” section of our FAQ, How To Manage User Access To Your RoomAlert.com Account

2. In the navigation bar to the left, select Devices, and go to the Room Alert Links tab.

3. Select Add Link in the upper right corner.

4. Give your Link a name, and then select Next.

5. Select the Link installer to download.

6. The Link installer will then download.

7. After it downloads, double-click the .exe file to run the installer.

8. You’ll see this window while the Room Alert Link prepares the installation wizard.

11. When the User Account Control dialog box appears, select Yes.

12. Then follow the prompts in the installation wizard.

13. When the wizard prompts you to enter your authorization key:

– First, copy it from RoomAlert.com.

– Then paste it into the installer.

14. When the wizard completes, Link’s local web interface will automatically open at localhost:8989
